The Position
The Showroom Project Coordinator supports the adaptation and execution of the Tommy Hilfiger global creative vision across the EMEA region. This role is instrumental in coordinating communication, showroom installations toolkits, planogram product strategy layout insights, technical doucments, and ensuring regions are adhering to brand guidelines and seasonal product strategy. The role shares materials sampling, tracks budgets, supports the organisation of contractors and showroom costs against the creative direction set by the global team.
The Team
Working closely with the Director of Creative Development and Showrooms, as well as the Sr. Specialists, they additionally support and communicate with cross-functional teams within Local and Global Merchandising, Hub Visual Merchandising, Market Wholesale Sales teams, as well as Production Contractors and showroom managers. This role plays a key part in managing logistics, vendor communication, and creative documentation to ensure high-quality implementation in-store and at key brand events.
This position is ideal for a detail-oriented, organized individual with a background in interior design, retail environments, or production coordination, looking to grow within a creative, fast-paced environment. This individual needs to know how to pivot in challenging environments when facing adversity. They must flourish under pressure and be able to navigate a myriad of stakeholders in Sr. roles.
When showrooms are not in a development stage, this role supports with Visual Merchandising guidelines by pulling samples and helping to organize the mock shop. They will also work to support with the decorative props and aesthetic elements that support store installations and decor.
Key Responsibilities
Creative Support & Technical Coordination
Assist in adapting global creative concepts for regional execution across showrooms, windows, and activations.
Support in the preparation of technical drawings, visual mockups, and installation guides.
Help maintain creative calendars and ensure timely development of design assets and guidelines.
Coordinate sampling, propping, and material testing with external vendors. While managing temps, budgets and procurement procedures.
Showroom & Visual Merchandising Execution
Support the end-to-end planning of seasonal showroom set-ups in EMEA hubs, from briefing to takedown.
Collaborate with hub VM and sales teams to ensure showroom guidelines are understood and correctly implemented.
Collect, document, and distribute post-showroom recaps and best practice visuals.
Windows, Pop-Ups & Activations
Assist with window concept rollouts and regional adaptations across multiple store formats.
Track timelines, material requirements, and vendor progress to ensure seasonal animations launch smoothly.
Coordinate logistical aspects of pop-up activations, including vendor quotes, shipping schedules, and installation support.
Help gather input from Marketing, Sales, and Product teams to align visual storytelling with commercial priorities.
Project & Vendor Coordination
Maintain trackers for project timelines, costs, and asset development.
Liaise with external production partners to manage sampling, approvals, and delivery coordination.
Track spend against budgets and support reconciliation processes after installation.
Help log and resolve post-installation snagging or quality issues.
Retail Propping & Support
Assist in the development, tracking, and delivery of seasonal propping packages to stores.
Gather feedback from field teams and share learnings with the creative and VM leads.
Help maintain a prop and materials library for reference and reuse.
The Ideal Candidate
2–4 years of experience in creative coordination, retail design, production, or visual merchandising.
Background in architecture, interior design, or visual communications is a plus.
Strong organizational skills and attention to detail; able to juggle multiple projects simultaneously.
Ability to read technical drawings and understand material and production terminology.
Collaborative and communicative; enjoys working with multiple stakeholders and teams.
Comfortable working with budgets, timelines, and production logistics.
Proficiency in MS Office, Adobe Creative Suite, or SketchUp is a plus.
