The Team 

 

This role sits within Marketing Operations, which is the organizational and creative production arm of the marketing department. As a close partner to both creative and marketing teams, we work to establish the best processes, drive collaboration, bring production expertise and are accountable for delivering on time and to budget.   

  

The team is made up of 4 pillars – Operations, Project Management, Production and Tommy Studios and collectively this team we are responsible for the global creative output for the brand, from global campaigns to brand design for our touchpoints, to PDP content.   

  

The team plays an important role in building upon the brand’s desirability through the delivery of aspirational lifestyle content and brand design. 

  

The Position 

The Operations Specialist is responsible for supporting the Operations team on work that underpins the smooth running of the team.  

 

The role will work across a variety of operational areas, from supporting our finance process, setting up freelancers in our systems, helping to ensure our Project Management tool is being used successfully and supporting on administrative work around market launch. 
 

This is a role offering opportunity to positively impact both work and people, and develop depth of knowledge in operational processes. 

 

Responsibilities (including but not limited to) 

  • Finance – supporting the finance needs of the operations team, through developing a deep understanding of Coupa and helping team members to resolve issues or partnering with finance on resolutions.  

  • Freelancer setup – you will support the Operations Manager in the process of hiring and setting up freelancers in our systems to ensure a smooth onboarding. 

  • Brief Intake – you will support the Operations Manager at times with handling brief intake and resourcing of the creative and ops team. 

  • Market Launch – around market launch, you will support with some of the administrative and operational tasks that require support 4 x a year.  

  • As we roll out a new Project Management team, you will support the Senior Manager, Operations in the adoption and correct use of it. 

  • As part of the Operations team, you will also have the opportunutity to partner with the Senior Manager, Operations and VP of Operations on a variety of Ops projects. 

  

The Ideal Candidate 

  • Minimum of 5 years’ experience in a creative agency / design studio environment 

  • Familiarity with a range of business tools - ideally including Coupa (or similar finance tools), Fieldglass, Project Management tools (eg. Asana, Wrike). A desire to learn and understand tools if you haven’t used these, is important. 

  • A positive attitude towards problem solving and curiosity in how to improve things. 

  • An effective collaborator who builds bridges with teams and stakeholders 

  • An enthusiastic team-player who is also self-initiating and motivated to work autonomously.  

  • Enjoys working with others, sharing knowledge and best practices across the teams and who strives to continually improve both the end result and the way we get there 

  • Business level fluency in spoken and written English
