The Position

As the trusted partner to the Managing Director of the South West Hub (France, Belgium, Luxembourg, Spain & Portugal), you will provide highly strategic, proactive, and seamless executive support. Operating at a senior leadership level, this role goes far beyond administrative coordination, it requires strong business acumen, anticipation of needs, and the ability to navigate a complex, multi-market environment.

You will act as a true extension of the Managing Director, ensuring alignment between priorities, stakeholders, and execution across the region. By managing a highly dynamic agenda, communications, and key initiatives, you will enable the Managing Director to focus on driving business performance, transformation, and growth.

You will play a critical role in orchestrating leadership effectiveness across the South West Hub, ensuring meetings are purposeful, decisions are well-prepared, and follow-ups are executed. From coordinating cross-country interactions and leadership forums to preparing high-level presentations and managing international travel, you will ensure operational excellence at all times.

Responsibilities

Include, but not limited to:

  • Strategic Calendar & Priority Management: Manage a complex agenda, ensuring alignment with key business priorities across the South West Hub and optimising the Managing Director’s time.
  • Executive Communication: Oversee inbox management, draft communications, and ensure smooth, professional interactions with internal and external stakeholders.
  • Meeting & Leadership Support: Prepare high-level meetings (agendas, pre-reads), attend key sessions, capture insights, and drive follow-ups across markets.
  • Regional Coordination: Act as a liaison across France, Belgium, Luxembourg, Spain, and Portugal, ensuring alignment between teams and stakeholders.
  • Event Management: Organise leadership meetings, town halls, and offsites with a strong focus on execution and impact.
  • Travel Management: Coordinate complex international travel, ensuring efficiency and seamless planning.
  • Presentation & Project Support: Create executive-level presentations and support or lead cross-functional initiatives.
  • Administrative Management: Oversee expenses and procurement processes with accuracy and timeliness.

The Ideal Candidate

  • Experience: 5+ years supporting senior executives (MD, VP, or C-level), ideally in an international, matrix environment.
  • Business Acumen: Strong ability to prioritise and align with strategic objectives.
  • Stakeholder Management: Confident interacting with senior leaders across multiple countries and cultures.
  • Execution & Organisation: Highly organised, agile, and able to manage multiple priorities effectively.
  • Communication: Excellent written and verbal skills, with strong executive presence.
  • Tech Skills: Advanced proficiency in Microsoft Office; experience with tools like Concur is a plus.
  • Mindset: Proactive, solution-oriented, and highly discreet.
  • Collaboration: Strong team player, able to build effective relationships across the organisation.
