The Team

The Non Trade Supply Chain Team is a service-organization, who facilitates warehousing, logistics, order fulfillment and planning, supporting our Store Development Teams (Projects), Visual Merchandize Teams (Window Campaigns), O&O and Franchise Stores and Marketing Teams (GWP). Our mission is fulfilling all Non Trade Sales and Project orders to the customer’s specifications. That is, delivering goods as promised at the time of need. Our key purpose is to optimize delivery of goods to our (internal) customers.

The Position

The role of Junior Specialist Logistics & Order Fulfillment is part of the Supply Chain Non-Trade department consisting in total of seven FTEs and reports directly to the Senior Manager Logistics & Fulfillment. The purpose is to safeguard and optimize the day-to-day logistics processes and ensure its compliance. Please note that responsibilities are shared within the team and allocated based on expertise and availability.

Main tasks and responsibilities:

Order Fulfillment Outbound:

  • As our Order Management & Customer Support you are responsible for day-to-day order management functions including order entry, order status, billing, product allocation, returns,  adjustments and back order management.
  • Act as the primary point of contact for delivery-related inquiries, coordinating communication with internal and external stakeholders to meet service needs and minimize cost impact.
  • Handle commercial invoice creation to facilitate the efficient movement of goods, ensuring accurate documentation and compliance for export orders.

Window Campaigns:

  • Coordinate smoothly running operations of Visual Merchandise & Window's displays for global distribution.
  • Autonomously plan and monitor goods flow in line with business requirements. Manual creation of: article master data, outbound list, commercial invoice, delivery instructions, distribution planning.

Shared tasks and responsibilities:

3PL Coordination:

  • Manage relationships with Logistics Service Providers (3PL), including daily warehouse operations, incident root cause analysis, and regular operations reviews.
  • Manage 3PL non-conformities with a sense of urgency and a customer-centric mindset, working diligently to address and resolve issues promptly.
  • 3PL Purchase Order Creation following financial compliance process, monitoring invoices, verifying rate charts and ensuring accurate billing.
  • Prepare reports and dashboards to steer operations, analyze incidents, and ensure smooth warehouse operations.

Team back-up tasks and responsibilities:

Inventory Management:

  • Control inventory reconciliation activities, investigate causes of reconciliation issues, and provide input on inventory queries. Hands on support on regular Cycle Count and Wall-2-Wall Count activities.

Inbound Coordination:

  • Coordinate inbound shipment logistics activities, including monitoring, quality checks, on-time delivery, and adherence to shipping schedules while collaborating with 3PL and suppliers to address and prevent issues.
  • Perform invoice control for inbound shipments, verifying agreements, utilizing the three-way matching method to ensure accuracy and compliance.

Other Responsibilities:

  • Ensure adherence to trade compliance regulations and industry best practices, promoting awareness and compliance within the business.
  • Drive Continuous Improvement initiatives within the logistics and order fulfillment processes, identifying areas for enhancement and streamlining.
  • Monitor Product and Packaging Quality based upon company standard requirements.
  • Maintain SharePoint and Consumables Order Forms for Packaging & Marketing Items.
  • Support SAP/Mendix key user activities, system testing, and input on enhancement and change requests
  • Assist in maintaining and reviewing documentation, including processes mapping and workflows, to ensure efficient processes and identify improvement opportunities.
  • Assist maintaining Product Master Data, setting up new items SAP/FMS, Request/Collect Supplier product data/information

The Ideal Candidate

  • Minimum of an Senior Secondary Vocational Degree (MBO+) or Associate Degree  (HBO) or equivalent in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Proven experience in logistics, order fulfillment, or supply chain coordination, ideally within the retail or fashion industry.
  • Strong communication skills and the ability to collaborate effectively with cross-functional teams.
  • Detail-oriented with excellent organizational and problem-solving skills.
  • Proficiency in using supply chain, inventory and warehouse management software. Experience or Affinity with ERP (SAP/FMS), Business Intelligence (SAP Hana, Power BI) is a plus.
  • Flexibility to adapt to changing priorities and support team success during transitions.
  • Fluent in English; knowledge of additional languages is a plus.
