POSITION TITLE:  Executive Assistant

BUSINESS/ORGANIZATION: North America Operations / Licensing, Americas

POSITION REPORTS TO:  2 Executives - EVP and Chief Operating Officer, North America & CK Global + the EVP Licensing, Americas

LOCATION: New York, NY

The Executive Assistant (EA) is responsible for providing administrative support to the EVP, COO North America Operations and CK Global as well as the EVP Licensing, Americas.     

The EA position requires advanced interpersonal, organizational, and technical administrative skills. Accuracy and the ability to work with others and operate across locations, within local geographic area (NJ/NY) and globally, are of particular importance in this position and the EA must be able to manage seamlessly across time zones.

The EA provides limited support to the EVP’s direct reports, when capacity allows and as follows: heavy calendar management, international travel coordination; invoice processing; new associate and consultant onboarding including space, equipment, and network access; space planning; and ordering/coordinating meals for large group/team meetings.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES: 

  • Manage complex calendars for two executives, including scheduling meetings, updating meeting locations, and communicating meeting logistics to executives and attendees.
  • Coordinate domestic and international travel logistics, including but not limited to flight bookings, hotel accommodations, transportation, and visa arrangements.  Create detailed travel and meeting agenda.
  • Function as a liaison between the executives, internal teams, and external partners, maintaining strong relationships and effective communication channels.
  • Assist in the coordination and planning of conferences, and meetings, handling logistics, catering, and other arrangements
  • Manage confidential and sensitive information with discretion, always maintaining utmost confidentiality.
  • Collaborate with other administrative staff.
  • New Hire onboarding: equipment and logistics coordination (computer, computer/network access request, space planning, phone setup, building access; updates to TPG intranet and contacts lists (operations, business continuity, vendors, business partners, etc.)
  • Maintain confidentiality of any data or information requiring it per PVH policies.
  • Attend staff meetings and take action items i.e., meetings to schedule with other team members.  Update teams on administrative items.
  • Follow up on approvals needed by Executive.
  • Correspond with vendors as needed.

QUALIFICATIONS & EXPERIENCE:

Experience:             

  • Experience supporting executive leads at a large, multi-brand corporate environment
  • Preference for experience supporting executives at VP and above level
  • Heavy calendar management and international travel booking is required

      

Education:  

  • Bachelor’s Degree (or equivalent) preferred

Skills: 

  • Ability to manage across multiple time zones.
  • Proven experience as an Executive Assistant or similar role, preferably supporting multiple executives.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with a high level of professionalism.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and calendar management software.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and oversee multiple priorities simultaneously.
  • Discretion and integrity in handling confidential information.
  • Knowledge of travel logistics and experience in arranging domestic and international travel.
  • Ability to work in a fast-paced environment and adapt quickly to changes.
  • Detail oriented and highly organized with a desire to maintain schedule and reminders and manage calendar for executives.
  • Excellent at handling changing priorities; multi-tasking.
  • Strong prioritization & follow-up skills; keen sense of urgency.
  • Ability to prepare and file electronic expense reports and manage corporate AMEX accounts. Preference for experience with Concur.

BUDGETARY RESPONSIBILITIES: 

Works within budget guidelines for planning events, off-site meetings, lunches/dinners, etc.

RESOURCEFULNESS/CREATIVITY: 

A professional who works well under pressure, with a cooperative and pleasant attitude, while managing multiple tasks and multiple customers simultaneously. Excellent communication and relationship skills. Must be able to manage multiple responsibilities efficiently with attention to detail. Able to act independently; take directions and adjust to different daily circumstances; and manage confidential information appropriately.

ENVIRONMENT:  

Able to work in fast-paced environment and manage multiple tasks simultaneously; travel to NY office locations when needed.

Pay Range:$90,000 - $105,000

PVH currently provides base salary ranges for all positions-on job advertisements-in the United States based on local requirements. These ranges are based on what PVH reasonably believes that it will pay an associate for their base salary for said position at the time of the posting. Individual compensation will ultimately be determined based on a variety of relevant factors including but-not limited to qualifications, geographic location and other relevant skills. Additional Compensation: This role is bonus eligible.
