POSITION SUMMARY:   

The Deductions Analyst will play a key role in supporting the accurate and timely resolution of customer deductions and claims within the Order to Cash (O2C) process. The analyst is responsible for retrieving and validating claim documentation from customer portals, analyzing claim validity based on supporting evidence, and preparing and distributing periodic reports to stakeholders. This role is critical in maintaining AR integrity and supporting prompt resolution of disputed items. 

 

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB: 

  • Retrieve claim and deduction documentation from customer portals, emails, and other sources. 

  • Review claim documentation for completeness and accuracy; assess validity based on company policy and guidelines. 

  • Collaborate with internal teams (Customer Service, Sales, Credit) to obtain additional context or approvals when needed. 

  • Document and code valid and invalid deductions in the ERP system. 

  • Escalate discrepancies or unusual claims to supervisor or management for resolution. 

  • Prepare and distribute periodic accounts receivable and deduction reports for internal stakeholders. 

  • Maintain up-to-date tracking of open deductions and claims status. 

  • Ensure accuracy and consistency of data across reports, reconciliations, and system entries. 

  • Support internal and external audits by providing deduction backup and reporting as requested.

DECISION MAKING:   

  • Assess and determine the validity of standard deduction claims using available documentation and policy guidelines. 

  • Escalate complex or high-value deductions to supervisor or team lead for further review. 

  • Prioritize daily tasks and claims based on due dates, claim amounts, and customer impact. 

  • Recommend process improvements or reporting enhancements based on recurring trends or gaps. 

 

BUDGETARY RESPONSIBILITIES: 

  • No direct budget ownership or capital expenditure responsibilities. 

  • Responsible for accurate identification and resolution of deduction claims, which impacts revenue recognition and AR aging. 

  • Contributes to financial reporting accuracy and supports overall working capital goals. 

RESOURCEFULNESS/CREATIVITY:   

  • Proactively locates claim documentation across various customer portals and systems. 

  • Demonstrates persistence in resolving incomplete or unclear claims by coordinating with internal and external stakeholders. 

  • Adapts quickly to new processes, tools, and reporting formats. 

  • Looks for automation or efficiency opportunities in claim retrieval and reporting processes. 

 

 

ENVIRONMENT:

  • Flexibility to work outside standard hours periodically to support global counterparts.  

 

QUALIFICATIONS & EXPERIENCE: 

 

Experience: 2-5 years of experience in accounts receivable, deductions, or dispute management. 

 

Experience working with ERP systems (SAP, Oracle) 

          

           Education: Bachelor’s Degree in Accounting, Finance, or related field. 

 

 

Skills:  Ability to work effectively across time zones and international teams. 

Strong written and verbal communication skills. 

Attention to detail and accuracy in documentation and reporting. 

Proficient in Microsoft Excel, Word, and Outlook.
